All about the European claim form

A European claim form is used after an accident or collision. Together with the other party, you fill out the claim form. When you take out car insurance, you will receive a European claim form from the insurer. It is wise to keep it in the glove box of your car, so you always have it handy.

Based on this completed form, the insurer can determine who the guilty party is and the amount of damages to be paid.

The European claim form consists of 14 questions about the accident and damage, as well as the vehicles involved and their drivers. The claim form looks the same throughout Europe, only the language differs from country to country. You can therefore use the form throughout Europe.

How to fill in a European claim form?

Completing a claim form correctly is very important. A mistake is easily made. To get you started, we have created a list where we explain step by step how to fill out a claim form.

The claim form should be in the glove box of your car. If it's not, you'd better make sure it is. Not having the claim form handy in an accident can be problematic.

What to do on the front?

On the front of the claim form you will see numbers 1 through 15. For each number there is information that you and the other party must fill out. Go through all the steps together calmly and fill everything in as completely as possible.

Also clearly discuss with the opposing party who enters their information under vehicle A, and who enters their information under vehicle B. Number 6 asks for the policyholder's information. Number 9 asks for the driver's information. At number 9, you always enter the details of the driver at the time of the collision. Was your vehicle parked at the time of the collision and no one was present? Then you can fill in nothing at driver.

In the middle of the form, you will see number 12, marked "attribution." Here you can check the box(es) that apply. This makes it a lot clearer for the insurance company to assess how the collision occurred. At the bottom of the form, at number 14, indicated as "my comments," both parties can add a brief explanation of their own.

Once all the information has been completed and both parties agree with what is written on the form, the form should be signed by both persons. After signing, the original can be torn off from the reprint so that both parties involved have their own form.

What to do on the back

Completing the back of the claim form is often forgotten by insureds. Yet it is very important for the insurance company that the back side is filled out. Filling out the back side can be done quietly at home. You do not need the other party for this. By filling out the back of the form, it makes the claim form become your form.

A lot of information is requested on the back of the claim form, but not everything is equally important. The most important eight points to be filled in are the following:

  1. Policyholder
  2. Driver
  3. Damage to your motor vehicle
  4. Police
  5. Victims
  6. Circumstances of occurrence
  7. Liability
  8. Date and signature

Remember to fill in all the information covered by these items? Example: The information that falls under policyholder are name, account number, occupation, employed/self-employed and right to deduct VAT.

If you have also completed the back of the form, you can send it to your insurance company or insurance intermediary. They can then handle your claim.

You should both send a completed claim form to your own insurer. The claim form must also be filled out by both parties. But what if there is a disagreement about what is filled out? By signing the claim form, you indicate that you agree with what is described on the form. If you do not agree, you can decide not to sign.

You can use the European claim form throughout Europe. The form always looks the same, but the language differs from country to country. In the Netherlands, the form is obviously in Dutch. If you have to deal with a collision abroad, however, it is easier to have a form in English. Sometimes settling a claim abroad can be a difficult process. Especially if you're dealing with a language barrier that causes communication problems. With a European claim form in English, you may have less of a problem with this. In any case, you will be well prepared when you go abroad by car.

Nowadays, you can also fill out the claim form online. However, it is best to do this immediately after the accident. You know the drill, in the rush you exchange phone numbers after an accident and you each go your separate ways. This is understandable, but certainly not wise. Taking 15 minutes can save you a lot of trouble and money. After all, what if the other party gives a different description of the accident? The other party does not give you the right of way, but later gives a contradictory statement. By filling out the claim form right away, you avoid misunderstandings and don't give the other party a chance to put a different spin on the truth.

For several years now, you can also report the damage digitally. This can be done through the website mobielschademelden.nl. There is also a mobile app with which you can report the damage. This app also allows you to upload photos of the damage.

Your car insurer will automatically be notified when you report car damage through the app. However, there are still some insurers who prefer to receive a paper claim form. If in doubt, it's best to contact your insurer.
